Visa regulation and documentation

Invitations for visa purposes can be requested with your Personal Arival Form (PAF).

Please check the entry requirements for Germany for nationals of your country before coming to European XFEL.

EU nationals do not require a visa.

In general, all other foreign nationals require visas for stays in Germany.

A visa is not required for visits up to 90 days in an 180‑day period for nationals of those countries for which the European Community has abolished visa requirements.

A list of countries and very detailed information can be found on the webpages of the Federal Foreign Office. Please read carefully and pay attention to the recommended timelines.

 

You can ask for a visa invitation letter with your Personal Arival Form (PAF). Make sure to provide the correct arrival date / departure date in order to avoid unnecessary delays in the processing of your invitation. About the duration of your stay indicated on the letter, we usually add + 3 days before and after the experiment scheduled dates in order to cover the travel duration. Should you need different dates due to issues strictly related to the experiments, please, let us know (useroffice@xfel.eu).

 

The Personal Arival form (PAF) can be submitted only after the A-from is submitted by your Main Proposer. Please check with the Main Proposer when the A-form will be submitted. If you think that the process could take too long and you want to start right away, we need an email from the Main Proposer (to be sent to: useroffice@xfel.eu) confirming that you will be part of the experiment participants for the Proposal. In addition to the confirmation we would need the  the following information to prepare the letter:

  • Complete name (as shown in your passport)
  • Title (Prof., Dr.) if applicable
  • Date of birth (*)
  • Gender (*)
  • Passport number
  • Nationality (*)
  • Name of institute and full institute address
  • Where will the application be submitted (Consulate General, German Embassy)
